Under the administrative direction of the Deputy Director, the Clerical Associate III function will be responsible for: â€¢ Organize special events and all meetings chaired by the Division of Child Protection (DCP). This includes but is not limited to: venue reservation, meeting packet assembly, handout/material printing, delivery and distribution, copying and electronically storing presentations, preparation of audiovisual needs (e.g., electronic projectors, laptops), food, hosting (e.g., preparing, collecting and recording registration sheets, gathering materials for continuing education credits). â€¢ Assist in all DCP meetings and trainings â€¢ Answer phone calls and take messages for the Deputy Director and Child Protective Manager and other managers assigned. â€¢ Perform outlook functions for the Deputy Director, Child Protective Manager and other department managers as assigned. â€¢ Preparation of OCPPS documents for storage. â€¢ Ordering, preparing and receiving supplies and materials. â€¢ Printing/copying/faxing/scanning needs â€“ for the Deputy Director, Child Protective Manager and other department managers. â€¢ Electronic and hardcopy filing for the Deputy Director, Child Protective Manager and other department managers. â€¢ Preparing and distributing documents for the Deputy Director or Child Protective Manager signature. â€¢ Preparation of CS- 900 orders for the Unit areas. â€¢ Manage timesheet related functions for the Deputy Director, Child Protective Manager and other department manager reports including: DCD adjustments, collecting documentation for requested leave. â€¢ Processing all invoices from vendors of contracted services. â€¢ Requesting and organizing equipment repairs. â€¢ Development of documents as needed by the AC, using Word, Excel, Outlook, Visio and Power Point. â€¢ Coverage of other unit clerical functions within the Division as assigned.
Minimum Qual Requirements
Qualification Requirements A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and one year of satisfactory clerical experience. Skills Requirement Keyboard familiarity with the ability to type at a minimum of 100 key strokes (20 words) per minute.
A Baccalaureate degree from an accredited college, or equivalent; preferably a Master’s Degree in the fields of public administration, business management, environmental planning, or a related field.
A minimum of 10 years of full time satisfactory professional experience in the field of environmental health and safety.
Experience overseeing large teams of staff and vendors performing multiple different types of work at a fast pace.
